Creating Employees
Add your team members to Kalism so they can perform services and manage their own schedules.
Overview: Two-Step Process
Creating an employee involves two distinct steps:
- Step 1: Create Employee Account - Add basic information and send the invitation email
- Step 2: Configure Employee Details - Set work schedule, role, and other properties after the account is created
Meanwhile, the new employee receives an invitation email to validate their email and set their own password independently.
Part 1: Creating the Employee Account
What You Need
Have ready:
- ✅ Employee's full name
- ✅ Employee's email address
Steps to Create Account
- Log in to your partner dashboard
- Click "Salons" in the sidebar
- Select your salon
- Click "Add Employee"
Beta Note: During beta, employees can only be created from within a salon. Since you have only one salon during beta, new employees are automatically assigned to it.

Fill in the Basic Information:
- First Name: Employee's first name
- Last Name: Employee's last name
- Email: Work email (will be used for portal login)

Click "Add Employee"
What happens next:
- The system creates the employee account
- An invitation email is sent to the employee immediately
- The employee appears in your employee list
- You can now proceed to configure their details (Part 2)
Part 2: Configuring Employee Details
After creating the employee account, you need to configure their work schedule, role, and other properties.
Steps to Configure Employee
- Go to your Employees list (in the salon view)
- Find the newly created employee
- Click the pencil icon (Edit) next to their name
- Configure the following details:
Work Schedule
Define when this employee works:
Example:
Monday: 9:00 AM - 5:00 PM
Tuesday: 9:00 AM - 5:00 PM
Wednesday: Off
Thursday: 10:00 AM - 6:00 PM
Friday: 10:00 AM - 8:00 PM
Saturday: 9:00 AM - 3:00 PM
Sunday: Off
Important: The salon's opening hours are automatically derived from all employees' work schedules. If no employee works on Monday, the salon is closed on Monday.
Role Assignment
Choose the employee's role and permissions:
- Owner: Full access to everything (automatically assigned to account creator)
- Employee: View appointments, manage own schedule
Beta limitation: During beta, only Owner and Employee roles are available. Manager and Custom roles will be available post-beta.
Profile Photo (Optional)
- Upload a professional photo
- Square format works best (min. 400x400px)
- Shows on booking page for client selection
Employee's Parallel Flow: Account Activation
While you configure the employee details, the new employee follows their own activation flow:
Email Invitation
The employee receives an invitation email with:
- Welcome message from your company
- Email verification and password setup link
- Instructions to access the partner portal
Employee Activation Steps
- Open the invitation email
- Click "Verify Email" to confirm their email address
- In the same flow, set a new password for their account
- Log in to the partner portal with their email + new password
What Employee Can Do After Activation
Once activated, the employee can:
- View their assigned schedule
- Manage their personal availability
- Update their own profile information
Key Point: The employee creates their own password—you don't need to share yours or set one for them.
Managing Employees
Edit Employee
- Go to Employees list
- Click employee name
- Update information
- Save changes
Delete Employee
Permanently remove:
- Use only if employee left permanently
- Past appointments remain in history
- Can't be undone
